Administration Assistant

The Hospice is seeking to recruit an Administration Assistant to provide general administration and secretarial support to the Family Support Team.

The post holder will be expected to work the following schedule:

Monday 9-2pm

Tuesday 9-2pm

Wednesday 9-5pm

Friday 9-2pm

We are looking for an outstanding communicator, with a high level of interpersonal and organisational skills. You will be able to work cooperatively with a range of colleagues, while also being able to offer a proactive and self-motivated approach to support your team.

You will also provide administration duties to various departments as required. At all times you will maintain confidentiality in relation to all information that you are exposed to.

Essential Criteria

Ability to use IT packages, including word processing, spreadsheets, databases, web-publishing, and the ability to use email and to maintain an electronic diary

Strong written and oral communication skills, with excellent attention to detail and the ability to convey complex information concisely and accurately

Proven ability to assist the manager, lead, motivate and effectively manage all volunteer/client counselling appointments

Assist management to organise and manage carers monitoring and maintain a full Data Base pf statistics for outside organisations

Ability to develop and manage good relationships with GP practices/health care and Social case workers

Ability to work flexibly for continuity of the service

Ability to resolve conflicting priorities effectively

Ability to work on own initiative and flexibly as part of a team

An understanding of and commitment to equality and the positive value of diversity

Ability to commit to and work within the aims, principles, and policies of the Hospice, including those relating to confidentiality, data protection

Ability to manage emotional clients grieving in person and over the telephone in a respectful manner and with empathy

Show Resilience and understand your own boundaries to protect your own health and wellbeing.

Good kind personality that would fit in with the team and the organisation

Customer focussed, with attention to detail

Desirable Criteria

To have some knowledge of Bereavement or had bereavement training

An understanding of how to run a patient and carer group

An understanding of adult learning and experience of successfully managing programmes of learning and/or qualifications

An understanding of how colleges work with student volunteers on placement

Good communication skills
